Data Retention and Processing Policy
On 25 May 2018, the General Data Protection Regulation was implemented. Waves Communications P/S (‘the company’) wishes to inform our clients about the company’s data retention and processing policy relating to our cooperation.
The company stores the following
- The client’s name, address and contact information
- Names and contact information of the client’s contact persons
- Written agreements, contracts, letters and e-mails
Use of data and materials
The company uses data and written materials in connection with ongoing administration of the client relationship, e.g. in relation to invoicing.
Storage of data and materials
The company stores data relating to the administration of the client relationship for five years following the most recent invoicing.
All data is stored electronically in our archives and is only available through the use of regularly updated personal passwords
All the company’s employees sign a confidentiality agreement upon accession.
The company’s CEO and accountant have access to data relating to the administration of all client relationships. The employees handling each individual client also have access to data relating to the administration of the client in question.
All the company’s employees have access to the company’s client archive. If an assignment is subject to a certain level of confidentiality imposed by the client, only those employees who have signed a special declaration of confidentiality have access to the assignment or knowledge of its details. Access to materials and data is secured using electronic passwords.
Information to third parties
The company never releases data to third parties.
The company’s employees have been informed of the contents of this document both verbally and in writing. New employees will be informed of the contents upon accession.
This document is available on the company’s website. All of the company’s clients have been notified of the document via e-mail, while all new clients will be notified about the data policy prior to the first assignment.
All clients have the right to know what data is stored, how and why it is stored, and to have their data deleted by contacting the company’s CEO at +45 2978 4932 or firstname.lastname@example.org.
